When it comes to show freight and event logistics, every detail counts. Missing one piece of information can cause delays, compliance issues, or added costs. At Falcon, we believe in structured preparation to guarantee that your cargo arrives on time and in perfect condition.

Here’s a checklist of essential questions to review before shipping your event materials:

  1. Number of Packages

How many individual pieces are you shipping? Knowing the exact count helps your logistics partner plan space allocation and ensure nothing is misplaced.

  1. Weight and Dimensions of Each Package

Precise measurements are critical. They determine freight costs, transport mode, and handling requirements. Oversized or heavy items may need special arrangements.

  1. Batteries

Are there batteries in your shipment? If yes, specific regulations apply, particularly for air freight. Identifying them early prevents compliance issues.

  1. MSDS Sheets for Batteries

If batteries are included, always keep Material Safety Data Sheets (MSDS) ready. These documents are mandatory for safe transport and customs clearance.

  1. Hazardous Materials (Paint, Solvents, etc.)

Are there dangerous goods such as paints, coatings, or chemicals? These require special labeling, documentation, and certified handling.

  1. Departure and Arrival Addresses

Providing full and accurate addresses (including venue delivery instructions) is vital for smooth pickup and delivery.

  1. Tailgate Required?

Will your delivery location need a truck with a tailgate lift? Identifying this early avoids delays and ensures proper vehicle assignment.

  1. ATA Carnet

Will your shipment move under an ATA Carnet? If yes, ensure all paperwork is complete and aligned with customs requirements.

  1. Cargo Value

Declaring the commercial value of your cargo is crucial for customs clearance and insurance purposes.

  1. Insurance Needs

Do you need additional cargo insurance? While Falcon maintains a record of less than 1% damage claims, coverage provides peace of mind for high-value items.

By asking and answering these questions early, you minimize risks, control costs, and ensure flawless event execution. Falcon International is here to guide you through every step, protecting your cargo and your deadlines.
